Mail intake and incoming invoices
Every email and letter lands in a mail log, gets classified and routed to the right place. Invoices automatically go through review: matched against the order and goods receipt (three-way match), approved below a threshold without manual work, everything else goes to manual approval.
An invoice that matches its order is ready for payment run without anyone having touched it.
Customers, quotes, orders, sales invoices
Companies and contacts, inquiries, quotes, orders, delivery notes, invoices, credit notes, dunning. Sales invoices also as XRechnung and e-invoice. Incoming payments are matched to invoices.

Production and shop floor
Production orders with operations and bills of material, terminal feedback on the shop floor (shop floor data collection via QR code), capacity and detailed scheduling, tools and presetting, nesting, subcontracting, goods receipt, inventory, post-calculation per order.
You see in the evening what the order actually cost, not at month end.
Inspection planning and quality
Inspection characteristics per part and operation, a control plan with separate plans for first samples and series, measured values with tolerance evaluation, SPC, FMEA, first article inspection per PPAP with all 18 elements, complaints. Measuring equipment management with calibration history.
The control plan steers the inspection on the shop floor. The measurement record is created while measuring, not afterwards at a desk.
Audits and certification management
A dedicated module for ISO certifications (9001, 14001, 45001, 27001): certificate with validity period and certification body, the full three-year cycle of initial certification, surveillance audits and recertification. Internal and external audits are planned and carried out; findings (major/minor/observation) automatically create a corrective action (CAPA). Plus a competency matrix, training planning and management review. Material certificates (2.2, 3.1, 3.2) per batch come on top. What is still missing: welder qualifications, welding procedure specifications, and evidence specifically for DIN 2303.
The next customer audit has its date, its checklist and its open actions in the system, not in a binder.
A personal assistant for every employee
Every employee has their own assistant in the system: it knows the page you are on, has access to the data that employee is allowed to see, and remembers what you told it. It writes the morning briefing and flags what needs attention.
Searching, summarising, asking around – the assistant does it. The employee decides.
Holdings and acquisitions
Candidates and deals in one pipeline, documents evaluated with AI support during due diligence, KPIs of the companies in one cockpit, early warning on deviations. This is the part Invictix itself works with.
An owner with several businesses sees all of them on one page.
Approvals, documents, printing
Multi-stage approvals with deadlines, document storage, print templates for quotes, delivery notes, invoices, NDAs and privacy notices, digital signature, payment QR code on the invoice. Every change is logged.
Who approved what and when is in the system, not in an email from three weeks ago.

These are the two points where Invictix AI differs from ordinary back-office software. Both are built, neither has been proven in daily use at an outside business yet. That is exactly what the pilot is for.
One assistant per employee, not one bot for everyone
The plant manager asks about the backlog on the milling machine, accounting asks about open invoices above the threshold, sales asks about the last quote sent to a customer. Everyone gets their answer from their own data. The assistant never performs an action the employee could not perform themselves.

From production order to inspection record
Digitising the back office is not enough if the control plan still hangs in a binder and the material certificate sits in a box. That is why production, inspection and evidence live in the same software as quotes and invoices.

What exists today covers ISO audits under 9001 & co. and inspection planning in the sense of the automotive frameworks (IATF control plan, PPAP). The defence-specific evidence under DIN 2303 is something we build together with a pilot company that genuinely needs it.
The software has come far, but it grew up inside our own business. A business with its own shop floor, its own customers and its own inspectors will find things we cannot. That is why we are looking for five pilot companies. Not free, but at a significantly reduced price. We name the figure in the initial call.

We are looking for metalworking companies (machining, forming, structural steel), 9 to 250 employees, ideally with customers in the defence supply chain or on the way there. The owner or plant manager has to want to be part of it; it does not work without a shop floor.

The price is stated in the proposal, not on the website. It depends on the number of users and hosting type (own server or hosted by us). Pilot companies pay a significantly reduced rate for the pilot period.

The software runs on your own server or hosted by us; either way, data is kept separate per company. Language models only ever see masked data. Every change is logged. Exporting your data is possible at any time, including for a switch.
For whom: owner-managed metalworking companies with 9 to 250 employees who no longer want to run the back office and the shop floor separately. Especially relevant if customers demand evidence that today lives in a binder: certificates, inspection records, audit findings, personnel certifications. Not a fit for businesses looking for finished standard software without any involvement. Invictix AI is still too young for that today, and we would rather say so upfront.
